The Administrative Assistant position is responsible for performing routine administrative functions such as managing calendars and appointments, drafting correspondence, organizing and maintaining paper and electronic files, as well as providing information about Marlin Medical to inbound callers.
Answers telephones and provides information, takes messages, or transfers calls as appropriate.
Opens, sorts, and routes incoming mail, answers correspondence, and prepares outgoing mail.
Maintains scheduling and event calendars for supervisor and other management staff.
Operates office equipment, such as fax machines, copiers, or phone systems and arranges for repairs when equipment malfunctions.
Types, formats, proofreads, and edits correspondence and other documents.
Composes, types, and distributes meeting notes, routine correspondence, invitations, etc.
Compiles, sorts, makes copies, and files office documents and pertinent material.
Conducts research and compiles data to prepare reports, packets, training materials, binders, etc.
Coordinates conferences, meetings, or special events, such as luncheons or ceremonies.
Arranges conferences, meetings, or travel reservations for office personnel.
Assists with data recording to include staff time and attendance.
Orders and distributes office supplies.
Performs other tasks as required by supervision.
Education: Associates Degree
Specialized Training/Certifications/Licenses: None
Knowledge: Basic office procedures.
Attention to Detail
Proficient with Microsoft Office (Word, Excel)
Must be able to speak, read, write, and comprehend the English language.
Must be able to bend or stoop.
Must be able to lift 20 lbs. unassisted
Must have good vision (e.g. near acuity and depth perception)
Other: Must be able to maintain required immunizations as required by the organization.
